Berkshire Hockey Association (BHA) is looking to recruit a part time administrator contractor. The position is required to assist the volunteer Management Committee of BHA whilst they deliver the England Hockey Player Pathway Programme, In2Hockey Clubs and Schools tournaments within Berkshire.

The administrator will work closely with the BHA Committee and support the County Coaches and Volunteers. The role will require EH Disclosure and Barring Service check and certification. This role is essential to the smooth running of junior hockey across the county.

Access to a computer, home office, telephone and broadband is essential. The Administrator will be self-employed and contracted for an initial period of six months.

 

Skills

The Administrator should be well organised, efficient, work to deadlines and have good communication, people management and IT office skills (Word,Excel etc).

The Administrator should maintain confidential information, adhere to the privacy policy, GDPR and other policies of Berkshire Hockey Association and those of England Hockey.

Knowledge of the England Hockey Player Pathway and an understanding of Hockey is useful

Knowledge of finance/accounts/bookkeeping would be useful.

A willing and helpful can-do attitude with a good sense of humour!

 

Responsibilities

Help to organise and implement the delivery of the Player Pathway Development Centre Academy Centre, Schools tournaments and Clubs In2Hockey tournaments within Berkshire.

Publicising performance hockey and managing the England Hockey Player Pathway database - updating and maintaining this as player information or feedback is provided by the Director of Coaching and Head Coaches.

Help to produce the schedule which outlines the whole programme identifying all the critical dates of coaching and tournaments, coaching allocations.

Manage the registration process via the England Hockey Player Pathway and communicate notices to parents and players, schools and coaches. Supply coaches with the information to enable them to use the Player Pathway system.

Book hockey pitches for the programmes as required and maintain contact with venues within the County.

Liaise and place orders with the BHA kit providers for both DC & AC, in terms of players and coaches.

Arrange fixtures with the new South-Central Region, to be determined and Southern Counties Championship.

Request hockey umpires for fixtures and access via GMS

Communicate match details to officials, coaches, team managers, players via the Player Pathway and match-day oppositions.

Attend the Berkshire Hockey Association Committee Meetings via Zoom and report on progress.

Attend the Berkshire Hockey Association AGM and report on progress.

Provide secretarial support as required.

Liaise with BHA Management Committee and assist with administration actions identified.

Provide assistance to the Treasurer/Secretary/Registrar relating to the GoCardless payment system and reconciling it with the England Hockey Player Pathway and BHA financial records.

Manage the budget (some £30,000) in terms of pitch/coach invoices checked and approved then forwarded to BHA Treasurer.

Record Invoices, initiate payments for authorisation and maintain bank records for Treasurer.

Obtain authorisation for the purchase of kit and equipment and then arrange for the purchase and maintain records.

Assist with computer systems and BHA Webmaster and ensure that records are kept up to date.

Provide support to the Welfare Officer with DBS certification, and the organisation of Safeguarding Courses & First Aid Courses, Health and Safety etc.

Provide support to the Covid Officer and update Covid information.

Provide support to the Schools’ Officer with tournaments and requirements.

Provide support to the Registrar with Player Pathway requirements.

Ad hoc tasks as required (e.g. collection of kit from suppliers and distribution to volunteers.)

Anticipated to be a maximum of 40-50 flexible hours per month. Remuneration £15.00 per hr/£9000 per annum pro rata.
